Overview
The following guide is intended to ensure your team members that are eligible for the Vimocity program have a seamless experience activating their account on mobile or web.
Vimocity App Overview
The Vimocity app provides an avenue for team members to access targeted resources to build daily movement habits, solve job-related discomfort and stay WorkReady—on the job and beyond.
All team members included in the Vimocity program are eligible to access the Vimocity app, which is available for download in the App Store for iPhone and the Google Play Store for Android. The web app can be accessed by visiting portal.vimocity.com.
Account Activation Flow
Team members will initiate their account activation by either downloading the Vimocity app on mobile or visiting portal.vimocity.com on the web. From there they will:
- Select “Create an account”
- Enter your work email address to receive a 4-digit verification code
- Enter the 4-digit code sent to the email address
- Create a password
- Account activated
Requirements
The following are required to set up the account activation process outlined above:
- All eligible employees must have a company email address
- A recurring active employee eligibility list must be provided to Vimocity daily, through an automated process, to ensure new hires can access the Vimocity platform and former employees no longer with the company don’t skew reporting
- Work Location, Department and Job Title fields must be included for each employee on the recurring list to enable analytics
- Employees on leave (medical, workers' compensation, disability, etc.) should be included in the eligibility file to ensure uninterrupted access to the platform; if this is not feasible, a list of terminated employees must be provided

An eligibility list is essential for employees to access the Vimocity platform as well as for reliable reporting.

Acceptable File Transfer Methods
- SFTP (Secure File Transfer Protocol) to a Vimocity-provided endpoint.
- If an automated transfer is achievable through another method, please consult with your Vimocity CSM to determine compatibility.
Requested Frequency
For those setting up an automated SFTP transfer, a daily transfer is optimal.
Technical Requirements
Active Employee Eligibility List CSV File Requirements
Template for Employee Eligibility List HERE. The contents of the CSV file must follow these specifications:
- If the active employee eligibility list includes multiple companies, you will need to split the .csv into separate .csv's for each company
- While our system may be able to ingest CSV files with various delimiters, our system prefers the file to be comma delimited, with quotes
- Header titles may be in any order or font case, but must match the following column header titles:
- Company
- First Name
- Last Name
- Work Identifier
- Department
- Location
- Job Type
- Region
- Each field can hold a maximum of 255 characters
- First Name, Last Name, Email and Work Identifier are the only required fields
- If Email is empty, then the Vimocity system will skip that line in the CSV file upon import but include the field to assist in troubleshooting customer support issues
- The Email field must contain both the "@" and "." symbols to be valid
- Email format supports the following characters:
- Alpha numeric
- Special characters as follows -._'"%+-
- You can use any character/symbol for the name fields
- Required File naming convention:
- {CompanyName}_Demographic_{date}.csv
- Example: AcmeCompany_Demographic_20220216.csv
- Aside from the {date}, the file name will need to remain consistent once autogestion has been established
SFTP Set-Up Process
- Confirm that your team has the capability to deliver a recurring list via SFTP and establish a point of contact (TPOC) we can work with to set up the process.
- Your TPOC will then need to generate a public/private key pair in the RSA format and provide your Vimocity Customer Success Manager with the public key.
- Your Vimocity Customer Success Manager will work with the Vimocity Tech Team to set up your SFTP site with secured access.
- Once SFTP site and access have been set-up, the TPOC will establish connection and send a test file using the following information:
- SFTP Server Information:
- SFTP Server: sftp.vimocity.com
- Port: 22
- Customer SFTP Credentials:
- User Name: <Vimocitytoprovide>
- SSH Private Key: Use the private key paired with the public key you provided in step #2.
- Test file to be sent using the following naming convention:
- {CompanyName}_Demographic_{date}.csv
- Example: AcmeCompany_Demographic_20220216.csv
- SFTP Server Information:
- Your Vimocity Customer Success Manager will confirm the test file has been received.
- Your TPOC will configure and activate the recurring active employee eligibility list transfer to deliver at a predetermined interval (daily at 12:01 AM PST is recommended).
